Car rental system for workshops: open a new revenue stream
Many workshops have 5-15 courtesy cars standing idle, only used when a customer is in for service. A car rental system opens the same fleet for short-term rental (day, weekend, week) and creates a new revenue stream without extra cars. Here is the complete system covering both free courtesy cars and paid rental.

Kort svar (TL;DR)
A car rental system for workshops must manage: pricing and rental terms per vehicle category, online booking with deposit payment via Stripe, MitID contract, driving licence check, structured damage check, and auto-invoicing upon return. CARRUSLiNK delivers this as a module sharing fleet with the courtesy car system, allowing the same vehicle to be used for both purposes.
What unmanaged car rental looks like
- The courtesy car fleet sits idle on weekends
- No price list, every quote is ad hoc
- Contract is drafted in Word, deposit is charged on invoice
- Skader uden dokumentation
- No link between courtesy car and rental, resulting in double bookings
- Extra costs (mileage, fuel, damages) are rarely charged
7-step playbook for workshop car rental
1. Vehicle categories with price list
Create 3-5 categories (compact, family, van, premium, MPV) with pricing per day, weekend, and week. Pricing rules can include mileage limits and insurance waivers.
2. Online booking with deposit via Stripe
The customer books from the website, selects vehicle category, period, and any extra services. The deposit is held on card via Stripe and released upon return.
3. MitID contract and driving licence check
The contract is signed with MitID on an iPad upon handover. Driving licence is photographed and verified against CPR.
4. Damage check with photos
Standard 6-8 photo flow at handover, marking on vehicle silhouette, customer confirmation. Same flow as courtesy cars.
5. Return flow with mileage, fuel, and damages
The customer returns the vehicle, reception takes new photos, logs mileage and fuel. Discrepancies are calculated automatically.
6. Auto-invoicing upon return
Extra costs (excess mileage, missing fuel, damages, late return) are invoiced automatically from the deposit or via e-conomic.
7. Statistics and price optimization
View fleet utilization per vehicle and period, revenue per vehicle, average rental duration. Adjust prices based on data.
