System for leasing customers: the alternative to Excel + monthly CSV
Many leasing companies manage their customer portfolio using a monthly CSV from their finance partner (Krone Kapital, Santander Consumer, AL Finans) — combined with a generic CRM and some Excel sheets. That doesn't scale. Here is what a proper leasing customer system needs to handle.

Short answer
A leasing customer system must bring together: all active contracts with expiry dates, an automated re-leasing workflow 90 days prior to expiry, vehicle cards for both leased and returned vehicles, customer cards with full dialogue history, and a direct connection to the finance partner (no monthly CSVs). CARRUSLiNK delivers all five parts on a single platform.
Why Excel + a generic CRM doesn't hold up
- You export a CSV from the finance partner once a month and copy it into Excel
- A generic CRM (HubSpot, Pipedrive) doesn't understand 'leasing contract', 'residual value', or 'expiry date'
- No automated reminders 3 months before expiry — you call manually from a list
- The car, the customer, and the contract live in three different systems
- When a salesperson leaves, the communication history disappears with them
- Customer preferences (make, color, price range) are buried in an old email
- Incoming ex-lease cars are handled without a proper intake process
5 things a leasing system must do
1. One source of truth for every contract
Every active lease agreement must be a single object containing customer, vehicle, finance partner, residual value, monthly payment, mileage allowance, and expiry date. Not a row in Excel — a searchable, updatable contract card in the system.
2. Automated re-leasing workflow 90 days before expiry
The system must know the expiry date and automatically initiate a workflow: SMS to the customer, a task for the sales rep, a vehicle proposal based on customer history, and follow-up if there's no reply. You own the dialogue — not the lessor.
3. Vehicle ↔ customer preference auto-match
When a customer wants a red Model X at €536/month, that request should be stored in a structured way. When a matching vehicle comes in from the lessor, the sales rep should automatically be notified. No more leads dying in the inbox.
4. Intake workflow for off-lease vehicles
When the vehicle is returned from the lessor, it should go through the same intake workflow as a standard used car: photography, reconditioning, pricing, and advertising on Bilbasen/DBA. Not a separate 'lease inventory' in Excel.
5. Direct connection to financing partners without CSV
Contracts, payment statuses, and expiry dates should flow in automatically from Krone Kapital, Santander Consumer, AL Finans, or whoever you use — via API or automated file import. Not a manual monthly CSV export.
What you get with a proper leasing system
One contract card per agreement
Everything about the agreement — customer, vehicle, partner, residual value, expiry — on a single card. Searchable, updatable, shareable.
Re-leasing workflow on autopilot
90 days before expiry, the workflow triggers automatically. You don't work through a cold list — the system prompts the next step.
Car ↔ customer match
Customer preferences are logged systematically. When the right car arrives, you know immediately.
Same intake as used cars
The off-lease vehicle moves straight through photography, reconditioning, and advertising — without a separate Excel sheet.
No monthly CSV
Contracts and payment statuses update automatically from the financing partner.
Deal history stays with your dealership
When a sales executive leaves, the complete conversation history remains on the customer record. The next salesperson takes over seamlessly.
