Service agreement renewal playbook: from 25% to 75% renewal
Renewal is the single most neglected part of the service agreement business, and at the same time the most value-creating. Here's the 6-step playbook that moves your renewal rate from industry average 25% to top-tier 70-80%, and what it means for total MRR.
Last updated:
Short answer (TL;DR)
70-80% renewal is achieved by sending an automatic renewal offer 6 months before expiry with a new price based on the car's current age/km, one-click confirmation via SMS link with MitID and max 10% price hike. CARRUSLiNK runs the whole flow automatically, customer confirms or declines, no manual sales effort.
Why most renewals fail
- No reminder before expiry, contract lapses passively and customer notices only 3 months later
- Manual contact reaches only 30% of customers in time
- Price adjustment too large, customer chooses to cancel rather than negotiate
- Renewal offer sent as PDF, customer forgets to return
- Salesperson 'loses' ownership after first sale, nobody follows up on renewal
- No transfer if car is sold. MRR lost for no reason
6-step renewal playbook
1. Auto flag 6 months before expiry
System automatically flags contracts 180 days before expiry. Salesperson gets a dashboard alert, but the flow itself runs automatically, salesperson only steps in if the customer has questions.
2. Auto-calculate new price
System pulls the car's current age/km and calculates a new monthly price from the same matrix as the original offer. Max 10% increase as default, beyond that requires approval.
3. SMS link with MitID confirmation
Customer receives SMS: 'Your service contract expires 03/2027. Renew at DKK 695/mo (up from 650), tap to confirm with MitID'. 70% confirm within 7 days.
4. Email with documentation
In parallel with SMS: email with 'Over the last 3 years we've performed X services for you, value DKK Y. Your new contract covers [package] until [date]'. Concrete value documentation = yes.
5. Reminder if not confirmed
If customer hasn't confirmed after 14 days: SMS reminder. After 30 days: phone call from reception. Escalation, but only if automation didn't work.
6. Transfer if car is sold
If the customer has sold the car, the system automatically suggests transferring the contract to the new owner (with their consent). 30-50% accept. MRR rescued, and new owner becomes a customer with no marketing.
What high renewal rate gives you
70-80% renewal vs industry 25%
Automatic 6-month flow moves renewal from industry average 25% to top-tier 70-80%. On 500 expiring contracts that's the difference between losing 375 or 125 per year.
Extends contract life 2-3x
Contracts become 60-90 months instead of 36 months. CLTV per customer rises 2-3x, without extra sales.
Auto-pricing with max 10%
System calculates new price from car's age/km. Max 10% increase as default, so no contracts lost to 'price shock'.
One-click confirmation via MitID
Customer confirms in 30 sec via SMS link with MitID. No PDF, no return, no delay.
Escalation only if automation fails
Reception and salesperson involved only on active no, questions or no response after 30 days. Rest runs automatically, frees sales capacity for actual new business.
Transfer holds MRR from sold cars
30-50% of contracts on car sale are transferred to new owner. New owner becomes a customer with no marketing, pure MRR rescue.
